Personal Assistant (PA) to the Directors

We are currently looking to recruit an experienced and organised PA to support the company Directors. This position is a permanent role based in our Head Office in Kearsney Manor, Temple Ewell, South East Kent.  To provide a comprehensive and high standard of administrative and organisational support to the Directors to ensure the smooth and efficient running of the business.  The successful candidate will also be expected to support the administration needs of the Senior Management Team as and when required.

Channels and Choices Therapeutic Community specialise in working with children who have experienced trauma, most will have an attachment disorder.  We create a secure base for all the children in our care and we focus on achieving the best outcomes for these children.

The post is permanent, full time position (37.5 hours per week) Offering a competitive salary of £25,000 – £35,000 per annum. Further benefits include 36 days paid annual leave per year and a loyalty scheme which rewards you with extra annual leave following 2 years of service.

JOB DESCRIPTION – PA to Directors

  • Managing the emails of Directors, ensuring that important emails are prioritised
  • Managing the calendar for both Directors, booking meetings and appointments when requested
  • Answering the phone, taking messages and fielding calls for the Directors from internal staff and external professionals
  • Preparing rooms for internal and external meetings with the Directors, such as ensuring refreshments are available, welcoming guests and arranging rooms/online forums
  • Preparing all necessary paperwork/information in advance of meetings
  • Taking accurate minutes/notes in meetings and ensuring minutes are produced within given timescales
  • Dealing with confidential and sensitive correspondence, data and information
  • Anticipating needs and providing critical thinking to problems
  • Support with compiling reports for Directors and other Senior Management Team meetings
  • Organising any travel needs for the Directors and the Senior Management Team
  • Maintaining the organisational charts with support from HR
  • Support the wider Senior Management Team with administration if needed
  • Maintain a high level of professionalism and confidentiality
  • Attend and participate in regular supervision and undertake training as and when required

PERSON SPECIFICATION – PA to Directors

Qualifications (Essential)

  • Educated to GSCE level C or equivalent in English & Maths

Qualifications (Desirable) 

  • A Level or Degree Educated
  • Level 3 Diploma/NVQ in Business Administration or equivalent

Experience (Essential) 

  • Experience in administration or secretarial work
  • Minute taking
  • Managing Diaries and Emails

Experience (Desirable)

  • Experience of working as a PA or Team Secretary at a Senior Level

Skills & Abilities (Essential)

  • Excellent verbal communication and interpersonal skills in order to communicate effectively with colleagues and external professionals
  • Highly computer literate
  • Ability to work effectively using own initiative as well as within a team and able to build good relationships with others
  • Excellent administrative and organisational skills with high attention to detail
  • Ability to manage multiple tasks in a timely and efficient manner
  • Flexible in approach, reliable and committed to role
