The post is for a full-time permanent Administrator working 37.5 hours per week, working Monday to Friday 9am – 5pm and is based at our Head Office at Kearsney Manor Kent. The salary for this position will be £23,809.50 per annum. Further benefits include 36 days paid annual leave per year and a loyalty scheme which rewards you with extra annual leave following 2 years of service.
Role Overview
We are currently looking to recruit an administrator to support our therapy and residential services with clerical responsibilities. This will be to help support the everyday running and growth of the departments.

Duties and Responsibilities
- To organise and manage regular meetings, to include booking rooms, arranging diary invites and agendas, producing accurate minutes and identifying actions.
- Minute any relevant meetings as and when required and produce good quality sets of minutes which may be shared within the community and sometimes to the wider community and external professionals.
- Formatting and distributing reports.
- Devise mangers and staff induction plans.
- To ensure the managers and deputies on call rota is completed within a timely manner and shared with the relevant people.
- Regularly update the on-call pack ensuring all information is correct and accessible to the correct people.
- When advised, create staff hampers and celebration gifts for Christmas and outstanding Ofsted awards.
- Support the children’s activities coordinator with organising summer activity club.
- To book annual holidays for the children, to include gathering feedback from home managers, sourcing holidays and comparing prices, liaising with booking company and creating purchase orders.
- Collate and save regular reports such as regulation 44 and Ofsted reports.
- Create and manage purchase orders and invoices.
- Liaise with internal and external professionals in a professional and timely manner.
- Maintain quality assurance processes and report gaps back to manager.
- Have a good understanding of internal systems/software’s, regularly updating these with relevant information.
- All general admin support via a Microsoft package, word, excel, outlook etc to include but not limited to producing accurate spreadsheets, reports and databases to support team management.
- Assist with data entry tasks, ensuring accuracy and completeness of information.
- Collate and analyse data; creating statistics and reports to be shared with senior managers.
- Demonstrate a commitment to safeguarding and promoting the welfare of young people in line with appropriate legislation and company policies.
