Senior School Administrator – The Sallygate School

The post is for a full time permanent Senior School Administrator, working 37.5 hours per week and is based within our Education team in Southeast Kent. We offer a competitive salary range of £25,000 – £28,000 per annum. We are looking for a skilled, experienced and enthusiastic person to fulfil the role of a senior school administrator, working closely with the Head Teacher and the Senior Leadership Team, attending to their administration needs alongside providing reception duties and general office support to the school. To line manage and supervise any other administration staff employed in the school.   To be an effective and efficient team member contributing to the smooth and efficient running of the school and the organisation overall. The post holder is primarily based in and supports the school, but forms part of a wider administrative team supporting the organisation as a whole.

 

Duties and Responsibilities

 

  • Supporting the Head Teacher and Senior Leadership Team with all of their administration requirements
  • To work alongside in support of and in partnership with team members and other professionals (Social Workers, Police, Education, and Health) to help looked after children reach targets and expectations as outlined in their care plans and other plans for permanence.
  • Provide line management, supervision, induction and mentoring for other administration staff in the Sallygate School.
  • Attending meetings, taking and reproducing appropriate notes and minutes, including School Management committee.
  • Be responsible for the administration of some Exams data and Exam entries.
  • Providing administrative, reception and general office support to the Sallygate
  • Supporting the administration of the Human Resources, training, fostering and therapy teams as required.
  • Maintaining school management information systems, ARBOR databases and records, registers and petty cash.
  • Maintain, update and be responsible for the school Single Central Record.
  • Accurately collate data of absence and expenses to input onto payroll sheets.
  • Dealing with telephone and email enquiries in a timely, polite, and efficient manner and fielding them as appropriate.
  • Supporting with booking and co-ordinating meetings, together with associated tasks including lunches and refreshments as appropriate
  • Purchasing and maintaining office supplies
  • Reception duties to include greeting clients, visitors and training course attendees, ensuring that they are welcomed to the company and are signed in.
  • Sorting and distributing incoming post and organising and sending outgoing post
  • Providing support to other administrative colleagues during busy times as directed
  • Maintain confidentiality at all times.
  • School admissions – maintaining records and collate new referral information.
  • To ensure that Students records and files are kept updated including emergency contacts and medical forms, CIC information and relevant information passed to staff.
  • To liaise with line manager regarding staff training needs, booking training and co-ordinating staff cover.
  • Administer online training for staff and support maintaining training records.
  • Support school and community events.
  • Such other duties that may be deemed appropriate.

 

Qualifications

Good general education, GSCE English, Maths & ICT desirable

  • Good written and verbal communication skills

  • Ability to work on own initiative.
  • Good working knowledge of Microsoft Office, specifically Office 365, Word, Excel, and outlook.
  • Organisation and prioritising workload skills.
